Missed call text back is the cheapest fix in local business. Someone calls, you can't pick up, and a text goes out in seconds asking how you can help. No app to learn, and no extra staff to hire.
Most owners set it up once, write a lazy message and never look at it again. That's the mistake. The words decide whether the caller texts back or calls the next shop on Google.
Below: why it works, 10 templates you can paste today, and the CASL basics every business in Ottawa, or anywhere in Canada, should follow. Swap in your details, test it on your own phone, and go.
Missed call text back is an automatic text sent to anyone whose call you didn't answer, ideally within a minute. The best ones name your business, ask one clear question and end with "Reply STOP to opt out." Keep promos out of it, because CASL covers commercial texts, not just email.
What missed call text back is, and why it works
It's a rule in your phone system: if a call isn't answered, the caller gets an automatic text. Good setups also log the call and ping your team.
Why does it work? Speed. In a Harvard Business Review study of 1.25 million sales leads, firms that tried to reach a lead within an hour were nearly seven times as likely to qualify it as firms that waited even one hour longer.
Against firms that waited 24 hours or more, the gap was more than 60 times. The same article reports an audit of 2,241 U.S. companies: 23% never responded to a test web lead at all.
Those were web leads, not calls, but the lesson carries over: interest fades fast. Voicemail asks the caller to wait. A text asks one easy question they can answer from a job site or a parked car.

The CASL basics for text-back messages
CASL, Canada's anti-spam law, covers text messages. The CRTC's CASL FAQ says commercial messages sent by text are subject to it. Each one needs three things: consent, identification and a way to unsubscribe.
Consent. The government's fightspam.gc.ca guidance says you may have implied consent from someone who submitted an inquiry, and that consent lasts 6 months for inquiries. The Electronic Commerce Protection Regulations also exempt messages sent in response to a request, inquiry or complaint.
Is a missed call an inquiry? It sure looks like one. But nobody has signed off on your setup, so write every text like you still need to earn the reply.
Identification. Name your business in the text. The CRTC says that if a message is too short for all the required details, a clear link to a page with them is acceptable.
Unsubscribe. The CRTC says a text can let people opt out by replying STOP. You must act on it without delay and within 10 business days.
No promos. Keep the first text about their call, not your sale. Offers are for people who opted in.
The CRTC lists penalties of up to $1 million per violation for an individual and $10 million for a business. The same rules cover review request texts, so set them up once.
This is general information, not legal advice. If your business is regulated, check with your lawyer.
Make sure someone answers the reply
The text is step one. The reply is where you win or lose. If a caller writes back "need a quote for AC" and nobody answers until tonight, you just taught them to call someone else.
Three rules keep it working:
- Send fast. Set the text to go out within a minute of the missed call.
- Route replies to a person or an AI that can book. A shared inbox nobody checks is just voicemail with extra steps.
- Count your missed calls. Pull the log, then run it through our missed call calculator to see what those calls are worth.
Ottawa owners who call leads back: if your number shows as Spam Likely, people won't pick up. A text first gives them a reason to answer.
Our take: a missed call text back isn't a nice-to-have anymore. It's the floor. If you can't answer every call, at least answer every caller.
Missed Call Text Back: FAQ
What is a missed call text back?
An automatic text your phone system sends to anyone whose call you missed. It names your business, asks what they need and lets them reply by text.
Is missed call text back legal in Canada?
Yes, if you follow CASL: commercial texts need consent, your business name and a working opt-out like "Reply STOP." Implied consent from an inquiry lasts 6 months. This is general information, not legal advice.
How fast should a missed call text go out?
Aim for under a minute. Harvard Business Review research on web leads found that replying within an hour made firms nearly seven times as likely to qualify the lead as waiting one more hour.
Can AI answer the replies to a missed call text?
Yes. An AI receptionist can read the reply, answer common questions and book the appointment, then hand anything tricky to you.
