"Live answering service" is what people search when they are tired of voicemail but not ready to trust a robot with their customers. Both instincts are reasonable. The useful question is not human or AI. It is which calls need a person, which need speed, and how the two hand off without a caller falling in the gap.
This guide covers what a live service does, what Canadian providers say on their own sites, where live agents still beat AI, and how to run a hybrid. For the Ottawa version, see answering service vs AI receptionist in Ottawa.
What is a live answering service, and how is it different from a call centre?
A live answering service employs people who pick up your business line in your company's name. You forward your phone to them all day, after hours or only when your own desk is busy. Agents follow a script you approve: greet, take a message, qualify the caller, transfer or dispatch urgent calls and, with many providers, book into your calendar. You get the result by email, text or app.
A call centre is a bigger, dedicated operation: support desks, order lines, absence reporting or alarm monitoring for one client. Several Canadian companies do both, which is why their sites list elevator lines beside small business reception.
Live vs AI vs hybrid: which answering model fits your business?
| Factor | Live answering service | AI receptionist | Hybrid (AI first, people for escalation) |
|---|---|---|---|
| Who answers | Trained agent, often shared across clients | Software with a natural voice | AI answers; agent or your staff take escalations |
| Answers every call at once | Depends on staffing at that moment | Yes, in parallel | Yes |
| Distressed or confused caller | Strong | Limited; should hand off | AI hands off to a person |
| French | Only with French-speaking agents | Yes, if set up, and switches mid-call | Both |
| Script changes | Submitted to the provider, then trained | Edited by you, live within minutes | Both |
| Billing | Per minute or per call; quoted | Monthly fee, sometimes usage-based | Two bills unless one vendor runs both |
| Best for | Low volume, high stakes, emotional calls | High volume, bookings, after hours | Businesses with both kinds of calls |
What do Canadian live answering providers typically offer?
Most lists of answering services are written by the services themselves. To keep this neutral, the table repeats only what each provider states on its own home page or FAQ, fetched on October 23, 2026. We are not a live answering service; we build AI receptionists and hybrid setups, and we say so below.
| Provider | Based in | What its own page says | Published pricing |
|---|---|---|---|
| On Call Centre | Ottawa, ON | Fully bilingual English and French agents available 24/7; in business over 50 years; warm transfer, message dispatch, email and SMS channels, emergency lines for elevators and pools. | None shown; free consultation |
| Answer 365 | Halifax, NS | 24/7, 365 days a year in English and French; over 75 years in business; over 1,000 clients across Canada and the United States; remote reception when your own desk is busy. | None shown; quote request |
| AnswerPlus | Hamilton, ON | 100% Canadian-based receptionists, bilingual receptionists, custom account setup; 1,500+ businesses; over 60 years; Canadian owned and operated. | None shown; contact form |
| Extend Communications | Brantford, ON | Over 65 years; 24/7, 365; telephone answering and dispatch, email and text handling, emergency triage and escalation, work-alone check-ins; an industry page for real estate and law. | None shown; free consultation |
| Intercon Messaging | Drayton Valley, AB | Answering since 1996; 24/7 live answering, emergency response and dispatch, lone worker and equipment alarm monitoring; an industry page for legal and finance. | None shown; consultation |
| Ruby | United States, serves Canada | 24/7 live answering with bilingual call handling available; scheduling, intake and payment collection; optional AI features included. | $250 a month for 50 minutes, $395 for 100, $720 for 200, $1,725 for 500 (currency not stated on the page) |
| LEX Reception | United States, serves Canada | Legal intake specialist; every call answered by a real person, not AI; integrates with Clio, MyCase and PracticePanther. | Billed by the minute and rounded up to the next minute; plan prices on request |
| AGNT/01 | Ottawa, ON | AI receptionist for calls, chat and text, with scripts you approve and a human handoff you define. Not a live answering service. | See published pricing |
Checked October 2026. Providers change plans often; their current page wins. Note the pattern: none of the five Canadian-based services above publishes plan prices on the pages we read. Expect a consultation before you see a number.
When does a live answering service win?
- The caller is upset, frightened or grieving. A flooded basement at 2 a.m., a parent calling a clinic, a family calling a funeral home. People de-escalate better than software.
- The call needs judgement, not a rule. If the dispatch decision depends on reading between the lines, an experienced agent earns the minute rate.
- Safety lines. Elevator phones, pool phones, lone worker check-ins and municipal emergency lines are services several Canadian providers have run for decades.
- Low volume, high value. A handful of calls a day, each worth a large contract, makes a human minute cheap next to a lost client.
- Callers who hang up on machines. Some customer bases will not talk to AI yet. Know yours.
When does AI win?
- Bursts. Monday morning at a dental office, a storm night at an HVAC company. AI answers every call at once; a shared agent pool queues them.
- Bookings. Connected to your calendar, AI checks real availability, books on the first call in English or French, then texts a confirmation.
- After hours and holidays. No overnight premium, no reduced holiday staffing.
- Consistency. The thousandth call follows the script like the first, and you can change it yourself in minutes.
- Cost per call at volume. Per-minute human billing adds up on routine calls. One published AI example is Smith.ai, which lists a free plan for 25 calls a month and $3.00 a call after that. See our AI receptionist cost guide for the wider range.
AI loses when it pretends. It should say it is automated, keep to the script and hand off the moment a call needs a person. Our AI receptionist guide for Ottawa shows a bilingual call flow built that way.
How do you combine live and AI without gaps?
Four patterns cover most businesses. Pick the one that matches your call mix, then write the handoff rules before you sign.
- AI first, people for escalation. AI answers everything, books what it can, and transfers urgent or emotional calls to on-call staff or a live service. Most efficient; needs a clear escalation list.
- People by day, AI by night. Your receptionist or a live service covers business hours; AI takes evenings, weekends and holidays.
- AI as overflow. Calls ring your desk first and roll to AI after a set number of rings or when the line is busy.
- Live for one line, AI for the rest. Keep a human service on an emergency or VIP number and let AI handle the main line.
Three rules apply to every pattern. Disclose: say in the greeting that the caller has reached an automated assistant. Recording consent: the Office of the Privacy Commissioner of Canada says an organization must inform the customer that it is recording, state the purpose clearly and obtain consent, whether a person or software answers. Texts: a confirmation that answers the caller's own request is service; a promotion is a commercial electronic message that needs consent under Canada's anti-spam legislation. Keep them in separate templates, as in our missed-call text back templates.
What should you ask a live answering service before you sign?
- Per minute or per call, and how do you round? LEX Reception, for example, states that it rounds up to the next minute.
- Are your agents in Canada, and where is call data stored?
- Which agents speak French, and are they on every shift?
- How fast can I change the script, and does it cost anything?
- Can you book directly into my calendar, or do you send messages for my staff to book?
- How do you work alongside an AI receptionist if I add one later?
- What is the contract term, and what does leaving cost?
Not sure which calls need which model? Start with a week of call logs. The free AGNT/01 audit maps them and shows where a hybrid would pay off. Law firms have extra rules on top; see our virtual receptionist guide for Canadian law firms.
Live answering service in Canada: FAQ
What is a live answering service?
A company whose trained staff answer your business phone in your company's name, usually 24 hours a day, following a script you approve. They take messages, transfer or dispatch urgent calls, and often book appointments.
Is a live answering service the same as a call centre?
Not quite. An answering service handles inbound calls for many small clients at once. A call centre runs larger dedicated programs such as support or order lines. Several Canadian providers offer both.
How much does a live answering service cost in Canada?
The Canadian-based providers we checked do not publish plan prices; they quote after a consultation. Ruby, which serves Canada, lists $250 a month for 50 receptionist minutes. LEX Reception bills by the minute and rounds up. Confirm currency and overage.
Can a live answering service answer in French?
Yes, if it staffs French-speaking agents. On Call Centre in Ottawa and Answer 365 in Halifax both state they answer in English and French 24/7, and AnswerPlus lists bilingual receptionists.
Is AI better than a live answering service?
Neither wins every call. Live agents are stronger with distressed callers and unusual requests. AI is stronger on volume, instant answering, after-hours bookings and cost per call. Many businesses use AI first with a person for escalations.
Do I need to tell callers that calls are recorded?
Yes. The Office of the Privacy Commissioner of Canada says an organization must inform the customer it is recording, state the purpose clearly and obtain consent, whether a person or an AI answers.
Can an answering service text my customers back?
A text that replies to the caller's own request, such as a booking confirmation, is service. Promotional texts are commercial electronic messages under CASL and need consent.
