Google Review Management and Reputation Management in Ottawa: The 2026 Playbook

Quick answer

Google review management in Ottawa means asking every real customer for a review, replying to every review within a few days, reporting reviews that break Google policy, and tracking your rating against nearby competitors. Do it within Google's rules and the Competition Act: no incentives, no review gating, no staff reviews without disclosure.

Reputation management sounds like a big agency service. For an Ottawa clinic, trade or law office it is mostly four habits done every week: ask, reply, report, review the numbers. This page lays out each one, the official rules that apply in Canada, a reply playbook with English and French lines, what the software costs, and what to watch for if you hire someone. If you are starting from zero reviews, read how to get more Google reviews in Ottawa first; this page is about running the whole system.

What does Google review management include?

JobWhat it meansHow often
RequestSend every real customer a review link after the job or visit, by text or emailAfter every completed job
MonitorGet alerted to new reviews on Google and other sites you care aboutDaily alerts
ReplyRespond publicly to every review, good or bad, in the reviewer's languageWithin 2 business days is our working target
ReportFlag reviews that break Google's content policy, and track the outcomeAs needed
RecoverContact unhappy customers privately to fix the problemSame day as a negative review
MeasureRating, review count, reviews per month, reply rate, versus 3 local competitorsMonthly

Our working standard for Ottawa service businesses, October 2026. Reply targets are our recommendation, not a Google rule.

What does Google allow when you ask for reviews in Canada?

Two sets of rules apply: Google's own policies, and Canadian law. Google's prohibited and restricted content policy is clear about what merchants may not do, and Canada's Competition Bureau has warned that businesses can be liable for misleading reviews.

Checked October 2026. Google does allow merchants to "solicit or encourage" genuine reviews, as long as they do not offer incentives or try to influence the rating or content. The Competition Bureau says anyone who writes or permits reviews that give a false or misleading impression could be liable under the Competition Act. Full detail is on our Google customer review policy page.

How does review request automation work without breaking the rules?

Automation is fine as long as it sends the same request to every customer. The flow most Ottawa service businesses can run:

  1. Trigger. When a job is marked complete in your booking or invoicing software, the system waits a set time (two hours for a clinic visit, the next morning for a trade job).
  2. Request. It sends one text or email with your business name, a direct Google review link and an opt-out line. Build the link with our Google review link generator.
  3. One reminder. If there is no review after three to five days, one reminder. Then stop.
  4. Language. Customers who booked in French get the request in French.
  5. Log. Each request is logged with the date, so you can prove consent and avoid double-asking.

What breaks the rules is a "How did we do?" screen that sends happy customers to Google and unhappy ones to a private form. That is review gating. If you want private feedback, ask for it separately, after the review request, and from everyone.

How should an Ottawa business reply to Google reviews? A playbook by star rating

Every reply is public and the reviewer is notified. Google checks replies against its content policies before posting them; it says replies usually take up to 10 minutes to review but can take up to 30 days (Google). Keep replies short, specific and free of private details. Never confirm that a reviewer is a patient or client if you are a clinic or law firm.

Our templates, October 2026. Reply in the language the review was written in. For more negative-review wording, see 10 templates for negative Google reviews.

Three rules for every reply: do not argue facts in public, do not reveal anything the customer did not already post, and do not offer anything in exchange for changing the review. Google's policy bans incentives for revising or removing a negative review too.

What can you do about fake or unfair Google reviews?

You can report a review that breaks Google's policy (spam, conflict of interest, off-topic, offensive content) from your Business Profile. Google says evaluation typically takes several days and you can track the status in its Reviews Management Tool (Google). A review you simply disagree with is not a policy violation and will usually stay up.

If a competitor is posting fake reviews about you, or someone is running an organized effort to inflate or sink ratings, the Competition Bureau asks Canadians to report it to the Bureau. Step-by-step instructions are in our guide to reporting fake Google reviews in Canada, and if reviews are vanishing, see Google reviews disappearing in 2026.

Be careful with any service that promises removals. Only the review platform decides what comes down; even GatherUp, which sells a dispute service, states on its pricing page that "review platforms make final removal decisions".

What is a good monthly review management checklist?

  • Every completed job this month received one review request and at most one reminder.
  • Every new review has a reply, in the reviewer's language.
  • Every 1 to 3 star review has a logged private follow-up.
  • Reported reviews are tracked in the Reviews Management Tool, with outcome noted.
  • Rating, total reviews and new reviews this month are recorded next to 3 nearby competitors.
  • Review request wording still names the business and includes an opt-out.
  • No staff quotas, incentives or "happy customers only" filters crept in.
  • Your Google Business Profile hours, phone and services are still correct. See the Google Business Profile guide for Canada.
  • One recent review is featured on the website or in a Google post, with the reviewer's first name only.

Recent reviews tend to carry more weight with customers than old ones; our note on review recency versus volume explains why a steady monthly flow matters more than a one-time push.

What should you ask an Ottawa reputation management company?

Search results for reputation management in Ottawa are mostly directories and national agencies. Whoever you hire, ask:

  • Do you send requests to every customer, or only to those who rate us highly? (Only "every" is acceptable.)
  • Do you write or post reviews, or use review exchanges? (The answer must be no.)
  • Who writes replies, and do we approve them before they post?
  • Can you reply in French?
  • Is texting CASL-compliant, and who keeps the consent log?
  • What happens to our review data and customer list if we leave?
  • Do you promise to remove reviews? (A yes is a red flag: only Google decides.)

For restaurants, our Ottawa restaurant Google reviews page covers the specifics of that industry.
