HVAC Virtual Receptionist: Answer Every Emergency Call, Day or Night

Quick answer

An HVAC virtual receptionist answers your phone when the team is on a roof or in a basement. It can be a live remote agent, an AI receptionist, or both. A good one triages no-heat and gas-smell calls, pages the on-call technician, books routine service into your calendar and texts the caller a confirmation, in English and French.

Heating and cooling calls arrive at the worst times: the first cold night in November, the first heat wave in June, Sunday at 9 p.m. The technician who could take the job is under a furnace. The call goes to voicemail, and the caller phones the next company.

A virtual receptionist is any service that answers that call from outside your office. This guide covers what one should do for an HVAC business, after-hours triage, published prices for live and AI options, and the Canadian rules. For the wider picture, see AI for HVAC companies in Canada.

What does an HVAC virtual receptionist actually do?

The name covers three different things:

  • A live answering service. Remote agents answer in your company name, take a message and page your on-call person. Billed by the minute or the call.
  • An AI receptionist. Software that answers with a natural voice, follows your rules, books into your calendar and sends texts. Billed as a monthly plan, often by call volume.
  • A hybrid. AI answers first and transfers to a person when needed.

Whichever you choose, an HVAC setup needs six jobs done: answer every call, including overflow when the office line is busy; sort emergencies from routine work; dispatch urgent jobs to the on-call technician; book routine service into real calendar availability; text the caller a confirmation; and log every call so you can see what happened overnight. The software layer is priced in our AI receptionist cost guide for Canada.

How should it handle after-hours emergency calls?

Write the rules before you pick a vendor. Here is the triage table we start from with contractors. Edit it for your service area and on-call policy.

Caller saysPriorityWhat the receptionist does
Smell of gas, hissing near the meter, carbon monoxide alarmSafetyTells the caller to leave the building and call 911 or the gas utility from outside. In Ontario, Enbridge Gas lists 1-866-763-5427 as its 24/7 emergency line. Does not book a visit until the caller is safe.
No heat in winter, no cooling in extreme heat, elderly or infant in the homeUrgentCollects address, system type and callback number, then pages the on-call technician by call and text. Tells the caller the expected callback window.
Water leaking from furnace, air conditioner or hot water tankUrgentAdvises shutting the water supply or power if safe, then dispatches as above.
Unit making noise, short cycling, higher bills, thermostat questionsRoutineBooks the first available slot, sends a text confirmation, logs the symptoms for the technician.
Quote for replacement, maintenance plan, duct cleaningSalesCaptures details, books an estimate, flags for follow-up the next business morning.

Sample only. Your dispatch rules should be approved by whoever is on call.

Two dispatch details matter most: the handoff must be a real call to a real phone with a text as backup, and there must be an escalation path if the on-call technician does not pick up within a set number of minutes. Ask every vendor to show you both.

Human answering service, AI receptionist or hybrid: what do they cost?

Published prices from two well-known providers, read on October 23, 2026, give a sense of the market. Both are US companies that serve Canadian businesses.

The math for an HVAC shop is about peak season. A 200-minute live plan sounds generous in April and runs out in the first week of a cold snap, when calls are longest and most valuable. Per-call AI pricing scales better, but check what counts as a call. Put your own numbers in the HVAC missed call cost calculator, read what missed calls cost an HVAC shop, and see our answering service vs AI receptionist comparison for the human-or-AI choice.

What should you ask a vendor?

  1. Can you play me a no-heat call handled at 11 p.m.?
  2. How do you reach my on-call technician, and what happens if they do not answer in 10 minutes?
  3. Can the receptionist read my live calendar and book, or does it only take messages?
  4. What happens when 12 calls arrive at once in an ice storm?
  5. How is a "call" or a "minute" counted, and what are overage rates?
  6. Can it answer in French and switch languages mid-call?
  7. Where are recordings and transcripts stored, and for how long?
  8. Does the greeting tell callers they are speaking with an automated assistant?
  9. Does it send the caller a text confirmation, and is that text CASL-safe?
  10. What is the contract term and the notice period to leave?

Does an HVAC virtual receptionist need to be bilingual?

In much of Canada, yes. In the 2021 Census, 18.0% of Canadians could hold a conversation in both English and French: 46.4% in Quebec and 9.5% outside it. The national average hides pockets like Ottawa-Gatineau, Moncton and Sudbury where a French opening line is normal.

If you serve customers in Quebec, French is not optional. The Office québécois de la langue française says French service must be available through every channel a business uses, including the phone, in conditions comparable to service in another language. Our bilingual AI receptionist guide for Ottawa has a sample English and French call flow you can adapt for a trades business.

What are the rules for recording calls and texting customers?

  • Recording. The Office of the Privacy Commissioner of Canada says recording customer calls collects personal information, so PIPEDA applies whether the customer or the organization initiates the call. Tell callers the call is recorded and why, and offer another option if they object.
  • Confirmation texts. A text that confirms the appointment the caller just asked for is answering their request. Promotional texts are different: under Canada's anti-spam law, an inquiry gives implied consent for six months and a purchase for two years, and unsubscribe requests must be honoured within 10 business days. The maximum penalty is $10,000,000 per violation for a business.
  • Maintenance reminders. A spring tune-up reminder to last year's customer is a commercial message. Keep the purchase date on file to show the two-year window. Our CASL guide for HVAC companies has a message checker.

If a call is still missed, a missed-call text back sent within seconds keeps the caller from dialling the next contractor. Not sure where your calls go after hours? Start with a free AI audit.

HVAC virtual receptionist: FAQ

What is an HVAC virtual receptionist?

A service that answers your HVAC company's phone from outside your office: a live remote agent, an AI receptionist, or a hybrid that uses AI first and a person when needed. It triages emergencies, dispatches urgent jobs, books routine service and logs every call.

How does a virtual receptionist handle after-hours HVAC emergencies?

It follows the rules you set: gas-smell callers are told to leave and call 911 or the gas utility; no-heat and leak calls are collected and paged to the on-call technician by call and text; routine calls are booked for the next available slot.

How much does an HVAC virtual receptionist cost?

Published prices in October 2026 ranged from $250 a month for 50 live minutes at Ruby to $1,725 for 500 minutes, and from a free 25-call AI plan at Smith.ai to $500 a month for 300 calls. AGNT/01 publishes its plans on its pricing page.

Can an AI receptionist book HVAC service appointments?

Yes, when it is connected to your calendar or dispatch software. It checks real availability, books the slot, collects the address and symptoms, and sends a text confirmation.

Does an HVAC virtual receptionist need to speak French?

If you serve Quebec, the Charter of the French language requires French service in every channel including the phone. Elsewhere it is good service: 18.0% of Canadians were bilingual in the 2021 Census, with much higher rates in places like Ottawa-Gatineau.

Is it legal to record service calls in Canada?

Yes, with notice. The Office of the Privacy Commissioner of Canada says PIPEDA applies when a business records customer calls, so tell callers the call is recorded and why.

Can the receptionist send maintenance reminders by text?

Only with consent. Under Canada's anti-spam law a purchase gives implied consent for two years and an inquiry for six months, and every message needs an unsubscribe option.
